Overview
One of the key workflows for anyone managing space is performing assignments of people to space, and monitoring occupancy values based on assignments vs. capacity. InVision Space Manager supports this process through a number of streamlined tools outlined in this section.
Single vs. Multiple Assignment Mode
It's important to note that InVision can be set up to support both single-assignment or multiple-assignment mode, so you may want to check with your InVision Administrator if you're not sure which is present. If multiple assignment mode is active, employees can have more than one space assignment (such as multiple offices in different cities), and you will have the option to un-assign them from other spaces when assigning them to a new space. If single assignment mode is active, an employee will be automatically unassigned from their previous space when they are assigned to a new space.
Search/Filter View Assignment Filter
A very common need is to find employees who need space assignments, or to find employees with multiple assignments. In Search & Filter View, there is an Assignment Count filter which lets users filter employee data by the following:
- 1 Assignment
- >1 Assignment
- No Assignment
There is also an Assignment Count displayed for all employees in the results grid which you can sort on.
Viewing Space Assignments
When searching for space to assign an employee, users will often start in Search & Filter View and filter data to meet their criteria. This may include finding space of a certain type, which has availability, and may need to be of a certain standard. From this subset of candidate space, users go into Details View to finalize their decision and make an assignment. When going into Details View, one of the key visualization capabilities is a viewby for Availability. This viewby will show all spaces on that floor rendered by those which have availability, those that are at capacity, and those that are either over capacity or unknown. Users can click on these spaces to see details of current assignments, or choose spaces from the subgrid in Details View for Floors.
The Employee sub-panel contains all current assignments for any given Space. If you click on the Info icon for any assigned employee, it will just to Details view for that Employee.
Creating Space Assignment
Users can manage Employee / Space assignment while either looking at a Space in Details View, or when Viewing an Employee in details view. The following outlines those two workflows:
Space Assignment
When looking at a Space in Details View, users can expand the Assigned Employees sub-panel to see current assignments, as well as add or remove assignments:
- Add an Assignment - Clicking on the ADD ASSIGNMENT button will launch the Add Assignment dialog. This will search for users as you type their name, and display a list of matching results. Select the desired assignment from the list. If mufti-assignment mode is active, you will also have the ability to remove that employee from other space assignments using the check-box displayed. When ready, click SAVE and the assignment will be completed.
- Remove an Assignment - To remove an employee assignment from a space, click on the overflow menu in the row of that employee in the subgrid. The menu will display a list of available actions, and click REMOVE ASSIGNMENT.
Assigning Employees from Space Details View

When looking at an Employee in Details View, users can expand the Assigned Spaces sub-panel to see current assignments, as well as add or remove assignments:
- Add an Assignment - Clicking on the ADD ASSIGNMENT button will launch the Add Assignment dialog. This will search for spaces as you type their name, and display a list of matching results along with a label telling you what building/floor they are on. Select the desired space from the list. If multi-assignment mode is active, you will also have the ability to remove other assignments using the check-box displayed. When ready, click SAVE and the assignment will be completed.
- Remove an Assignment - To remove an assigned space from an employee, click on the overflow menu in the row of that employee in the subgrid. The menu will display a list of available actions, and click REMOVE ASSIGNMENT.
